Keap 3rd User Cost: Is Another Seat Worth $39/Month?
The short answer
Keap currently includes two user licenses in its subscription. Each additional user costs $39/month. That makes the first extra login—the third user—a $468 annual decision before contacts, implementation, texting or payment fees are considered.

The third seat needs a real owner
A permanent seat makes sense when a third person is repeatedly responsible for CRM work: updating records, owning pipeline stages, completing tasks, sending one-to-one communications, reviewing automation history or managing customer follow-up.
If that person only needs a monthly report or occasional admin help, a permanent $39/month login can become a low-usage expense.
$39/month becomes $468/year
The seat cost looks small beside Keap's base subscription, but recurring cost matters. One extra user adds $468 over 12 months. Two extra users add $936. This is incremental cost on top of the base software, required implementation, contact expansion and any messaging usage.
The right comparison is therefore not “Is $39 cheap?” It is “Does this person's independent access save or enable enough recurring work to justify $468 every year?”
Separate access can improve accountability
Keap includes roles, permissions, tasks, CRM history and workflow ownership. A real third operator may benefit from having their own login rather than sharing credentials or routing work through another teammate. Separate accounts also make responsibility and activity clearer.
That operational benefit should be the reason for the seat—not simply that another employee exists.
Compare other CRM seat models
Close, Capsule, HubSpot and Zoho all price CRM access differently. Some are purely per-user; others combine seats with plan or usage limits. If team size is growing faster than contact volume, seat structure deserves the same scrutiny as feature comparisons.
Keap has a public partner program, but Toolnavia approval and tracking are unverified.
Buying rule
Keep the two included users when they can own the full Keap workflow. Add the third $39/month seat when a third person needs recurring independent CRM access and clear responsibility. For occasional support, reporting or consulting, test whether a lighter process avoids a permanent $468/year seat.
