Close Essentials for Agencies: Sell the Retainer, Hand Off the Promise
The short answer
Close Essentials can fit an agency whose own sales depend on discovery calls, proposals and continuing client relationships. Its value is a commercial record that survives beyond the salesperson's memory. Keep delivery planning in a suitable workspace, and make the handoff explicit before you add another subscription.
This is official-source analysis and a proposed operating model, not a tested integration.
At a glance
- Best for
- Agencies selling through human conversations with a separate reliable delivery workspace.
- Price model
- USD $35/user/month billed annually ($420/year) or $49 monthly; usage and tax extra.
- Check first
- Buyers mainly seeking client software resale, project scheduling or an automatic handoff on Essentials.
Buy for the agency's own sales job
Separate selling your service from delivering marketing work for a client. Close's agency positioning makes that distinction: its focus is sales relationships, not client software resale or funnel-building operations.
That helps clarify the purchase. If proposals stall because nobody can reconstruct the latest conversation, a sales CRM may address the problem. If projects run late because resources and approvals are unclear, adding Close may leave the main problem untouched. Identify the failing job first.
Keep the commercial evidence easy to find
A Close Lead can bring contacts, opportunities, tasks, custom fields and conversation history together. Notes can be pinned, and specific activities can be linked for colleagues with access in the same organization.
Those capabilities support four practical benefits: knowing who is involved, reconstructing the promise, highlighting the current agreement and pointing to evidence. They do not make a note contractually authoritative or give an outside delivery contractor access automatically. Define where signed documents live and who may see customer information.
Design a packet the next owner can accept
For a retainer, propose a compact handoff containing the buyer, intended outcome, included work, exclusions, agreed commercial terms, start assumptions and the next decision. Add an explicit list of promises made during sales that do not appear in the standard package.
The delivery owner should accept the packet or return it with a specific question. “Won” is a commercial status, not proof that delivery is ready. For example, a promised launch date without supplied assets should become a dependency to resolve, not an unexplained deadline passed to the project team.
Budget for both systems honestly
Two Essentials users currently cost $840 per year on annual billing or $98 per month. Add the project system you still need, relevant usage, tax and any separately priced integration. Do not count a delivery subscription as savings unless you can genuinely discontinue it.
The agency marketing page discusses the wider Close product. Its broad capability descriptions are not an Essentials entitlement list. Essentials excludes automated Workflows, while AI Lead Summaries are limited to higher plans in the dedicated documentation. This proposed handoff uses human-written notes and human acceptance, so it does not depend on either upgrade.
Rehearse one difficult project
Choose an authorized sample with an unusual scope exclusion, several stakeholders and a conditional start date. Reconstruct its commercial record in the proposed format. Ask someone from delivery to build the first project brief without a private explanation from sales.
Record what is missing, unclear or contradictory. Correct the packet and repeat the exercise. If information must move into another system, decide who copies it, what becomes authoritative and how later scope changes are communicated. A manual process can be acceptable at low volume if responsibility is clear.
Choose Close when the sales record earns its place
Buy Essentials when it improves the agency's own commercial conversations and produces a handoff delivery can use. Keep the existing stack when sales context is already reliable or the real need is project execution.
Inspect the current plan through the official Close referral entry and test one complete sale-to-delivery transition before annual commitment. Toolnavia may earn commission on qualifying purchases; no integration, special discount or revenue improvement is included with the link.
